Most distributors in Sri Lanka run deliveries on paper. A clerk writes the load sheet in the morning, the driver takes it out, and somebody reconciles the cash against the invoices that evening — usually late, usually with at least one discrepancy nobody can explain. FleetDispatch replaces that entire cycle.
Planning the run
You build a dispatch run by selecting the invoices going out, assigning a vehicle and a driver, and printing a run sheet. The system knows what stock is committed to which run, so the same case cannot be promised to two customers. Runs are organised by business location, which matters if you operate more than one depot.
What the driver sees
The driver opens a delivery list on their own phone — no app store, no company handset. They work down the drops, mark each one delivered, and record what they collected: cash, cheque, or nothing. When a payment is not collected, they pick a reason from a list you control rather than typing whatever comes to mind. That single change is what makes your collections data worth analysing later.
Partial situations are handled properly. If goods are left at the pharmacy pending a decision, or an invoice goes missing on the round, those are flagged rather than quietly disappearing.
Closing the day
At the end of the run the driver submits a tally. It goes into an approval queue where someone in the office checks it against what physically came back. Once approved, the payments post straight into the ledger — no re-keying, no second spreadsheet. If an approval was made in error, it can be reversed cleanly.
The result is that your cash position is correct before you get to the office in the morning, rather than three days later.
Reporting
FleetDispatch keeps a visit log with route maps, so you can answer “where was vehicle three on Tuesday afternoon” without asking anyone. Fleet reports cover deliveries per run, collections per driver, and the exceptions that keep recurring.
Who it is for
Distributors, wholesalers and agencies running two or more delivery vehicles. If you run one vehicle and thirty invoices a week, paper is still cheaper. If you run five vehicles and two hundred invoices, the reconciliation time alone pays for this.
